This table lists the features and functionality available with a Zoho Mail integration.

Description

Push new users New users created through Okta are also created in Zoho Mail.

To create new users and manage roles, users must have a Governance-enabled instance.

A role assignment is required when new users are created in Okta. A user can be assigned one of three roles: Admin, Member, or Super Admin. If no role is selected when assigning the user in Okta, then the user's role is set to Member by default. The Member role is also set as default if the Zoho Mail instance isn't Governance-enabled. See Zoho Mail Roles and Privileges.

Push user deactivation

Deactivating the user or disabling the user's access to the app through Okta also deactivates the user in Zoho Mail.

Push profile updates

Updates made to the user's role through Okta are applied to Zoho Mail profiles.

To update roles, users must have a Governance-enabled instance. Users can only have one role assignment (Admin, Member, or Super Admin).

Import new users Users created in Zoho Mail are imported into Okta.
Import profile updates Updates made to a user's profile in Zoho Mail are downloaded and applied to the profile fields stored locally in Okta.
Reactivate Users Reactivating or enabling the user through Okta reactivates or enables the user in Zoho Mail.
Import user schema Imports the user schema from Zoho Mail into Okta. This is also known as schema discovery.

Push Groups

User groups and members created through Okta are pushed to Zoho Mail. This automates the creation and maintenance of group memberships within Zoho Mail. See Manage Group Push.

Here are some important things to note:

  • When user accounts are provisioned or updated from Okta to Zoho Mail, only the Display Name from the Okta user profile is pushed and updated in the Zoho Mail account. The Description value isn't transferred.
  • The email address that's associated with the group is a concatenation of the group name and the primary domain name of the organization. Consider an organization whose primary domain is okta.com and the group name is Marketing-team. The resulting group email address is: marketing_team@okta.com.
  • When importing user groups from Zoho Mail to Okta, the synchronization process only transfers members who are specifically part of Zoho Mail. So, other organization members and external members who aren't part of the Zoho Mail group aren't added or displayed in the Okta group. If a Zoho Mail group mainly consists of these excluded member types, the group can be imported and linked to Okta's group but the members can't be imported to Okta.
  • Management of members from other organizations or external members is exclusively handled through Zoho's console, not through Okta.
  • A user in Zoho who lacks a valid mailbox is categorized as an external member or a non-mail user.
