Customize an email template

Okta sends email notifications to end users when their passwords are reset or their accounts are activated or unlocked. These notifications are available as customizable templates in each Okta-supported language.

You can customize any email template, but remember that when you edit a template, Okta stops sending the default in other languages, and you are responsible for adding translations of your customized message.

You can use the drop-down menu above the template list to toggle between Identity Engine and Classic orgs. This feature allows you to handle any template updates for both orgs, if needed.


Most of the Identity Engine templates are identical to those in Classic orgs. However, the following templates differ and require updates to include required variables. The variables are specified in the template descriptions.

  • LDAP Forgot Password
  • Reset Factor
  • Active Directory Password Reset
  • Unlock Factor
  • Active Directory Password Unlock

Edit a default email template

  1. In the Admin Console, go to Settings > Email & SMS. Select the Email tab. Or, if you enabled Branding EA, go to Customizations > Email.
  2. Click a default email template listed in the left pane.
  3. Click Edit to open the message in HTML. If the Edit button is not available, the template has already been customized. See Add translations.
  4. Make your edits. Observe the following limits:
    • The maximum size of an email template is 64 KB. This is the equivalent of approximately 65,000 single-byte characters (text, HTML, and CSS). Fewer UTF-8 characters are accepted; these can be as large as 4 bytes each.
    • The Subject can't exceed 128 characters.
    • Some styles may be stripped out of templates.
  5. Click Save. The default language version of your edited message appears in the Custom Email table.
Important Note


Okta does not automatically translate the changes you make in one template to the other language templates. To add translations for this customization, proceed to step 3 in Add translations.

Add translations

  1. In the Admin Console, go to Settings > Email & SMS. Select the Email tab. Or, if you enabled Branding EA, go to Customizations > Email.
  2. Choose an email template that you have customized. The default language version of your customized message appears in the Custom Email table.
  3. Click Add Translation, and then select a language from the drop-down box. If the Add Translation button is not available, this template hasn't been customized. See Edit a default email template.
  4. Make your translated edits, and then click Add Translation.
  5. Repeat steps 3 and 4 for additional languages.

To delete all custom translations and revert to the Okta template, click Reset to Default.
