Email Customization

Options in the Email tab allow you to customize default email notifications. Okta sends email notifications to end usersIn Okta literature, we generally refer to "end users" as the people who have their own Okta home page (My Applications), using apps to authenticate into all of their apps. End users do not have any administrative control. When we refer to "users" we are generally referring to the individual(s) who have administrative control. for a variety of reasons, including:

  • User activation
  • Forgotten password
  • Reset password
  • Self-service unlock account

Email notifications are generated automatically and sent to end users according to your settings. You can also configure a custom email domain so that email Okta sends to your end users appears to come from an address that you specify instead of the default Okta sender.

Email Templates

Okta email templates contain default text suitable for a particular type of account activation, password reset, or account unlock scenario. You can customize email templates in order to send end users custom Okta-generated email messages. The message can also be sent in multiple languages.

  • Email templates must be under 64 KB. This limit includes all text, HTML, and CSS characters in the template. 64 KB contains approximately 65,000 single-byte characters. If you use UTF-8, fewer characters are allowed because characters can be up to 4 bytes each. Some styles are not supported and may be stripped out by our template.
  • The Subject cannot exceed 128 characters.

This is an Early AccessEarly Access (EA) features are opt-in features that you can try out in your org by asking Okta Support to enable them. Additionally, the Features page in the Okta Admin Console (Settings > Features) allows Super Admins to enable and disable some EA features themselves. feature. Test Custom Email Templates

You can send yourself a test email to see how a custom email template will look and function. This can help you validate macro attributes and translations in the customized template as well as see how the template will render in different email environments. This eliminates the need to create a real end-to-end workflow to test customization. The test email will be sent to the primary email address of the adminAn abbreviation of administrator. This is the individual(s) who have access to the Okta Administrator Dashboard. Note: Free trial editions of Okta cannot create or send customized email templates.

Customize the text of an email template

  1. In Admin Console, go to Settings > Email & SMS Customization.
  2. On the Email tab, click one of the email templates listed in the left pane. The default message is displayed in text.
  3. Click Edit. Note that the message now appears as editable HTML.
  4. Edit the template as needed, and then c lick Save.
  5. Optional. You can add custom email templates in multiple languages.
  6. Optional. To delete all custom translations and revert to the standard Okta template, click Reset to Default.
