Configure bookmark apps

While you complete the migration, some apps might still be federated with Microsoft Entra ID while others are directly federated with Okta. In this interim state, you can configure bookmark apps in Okta so users can sign in to the End-User Dashboard and access all of their apps. You can create bookmark apps with Workflows Administrator using app metadata that you export from Microsoft Entra ID.

Before you begin

Add the bookmark app management flows template to Okta Workflows

  1. Sign in to the Okta Workflows console.
  2. Go to the Templates page.
  3. Search for and select the Bookmark Application Management flow.

  4. Click Add Template.

  5. In the confirmation dialog, click Add Template once again. The template is added as a folder in your Workflows environment. If a folder with the same name exists, this action adds a second folder with the same name.

  6. On your Workflows home page, click the new folder to view the components of the flow. The folder displays two flows and a table.

  7. Toggle on each flow.

Import apps

  1. Create a CSV file that contains the details for each bookmark app that you want to import.

  2. Open the folder that contains the bookmark app management flows.

  3. Go to the Tables tab.

  4. Select the Bookmark Application Table.

  5. Click ActionsImport.

  6. Select the CSV file and click OK. When the import is complete, the table displays the following information:

    • Application Name: The app name that users see in the End-User Dashboard.

    • Application URL: The URL of the app.

    • Application Group Assignment: The group that's assigned to the app.

    • Application Authentication Policy: The policy that's assign to the app.

    • Action: Displays Create to indicate that bookmarks apps are created.

    • Okta App ID: This is automatically updated with the Okta app ID once you create it.

    • Status: Displays the flow status after the flow completes.

Run the flow

  1. Open the folder that contains the bookmark app management flows.
  2. Select the 1.0 Bookmark Application Management - Parent Flow.
  3. Click Run.

Validate the flow

After the flow completes, validate that it was successful.

  1. Open the folder that contains the bookmark app management flows.

  2. Go to the Tables tab.

  3. Select the Bookmark Application Table.

  4. Confirm that the bookmark apps in the table have a status of Success.

  5. Sign in to the Okta Admin Console and select ApplicationsApplications.

  6. Select an app for which a bookmark app is created.

  7. Confirm the following details:

    • The General tab shows the correct URL.

    • The Sign On tab shows Bookmark Application Authentication Policy for the Authentication policy.

    • The Assignments tab shows the correct user and group assignments.
