Assign the Okta Workflows app

Users access Okta Workflows through the Okta Workflows app integration.

Every user receives the Unassigned User role until granted a different role. See Manage Workflows roles.

When you assign the app to a user or a group, an Okta Workflows app tile is automatically added to the Okta End-User Dashboard for each user.

Super admin assignments

There are special considerations when assigning the Okta Workflows app to super admins.

Assignment for existing super admins

Okta automatically assigns the Okta Workflows app integration to all super admins when Okta Workflows is purchased and added to an Okta org.

When you enable the RBAC feature, any super admins already assigned to the Okta Workflows app immediately transition to the Unassigned User role. This means that these existing super admins don't have any privileges in Okta Workflows until you provision these accounts.

Assignment for new super admins

When you add any new super admins to an org with Okta Workflows and the RBAC feature enabled, they receive the Okta Workflows app automatically.

Before you begin

To grant access to the Okta Workflows app, you must be signed in to the Okta Admin Console as a super admin.

Start this task

  1. In the Admin Console, go to ApplicationsApplications.

  2. In the Applications list, scroll down to the Okta Workflows app integration.

    If the app integration doesn't appear in your Applications list, contact your Okta sales representative about adding the Okta Workflows product.

  3. Click the gear icon to open the actions dropdown menu.

    Or you can open the app integration and perform the following steps on the Assignments tab.

  4. Select either Assign to Users or Assign to Groups.

  5. In the Assign Okta Workflows dialog, click Assign for each user or group that needs access to the Okta Workflows app.

    If the user or group already has the app assigned, they don't appear in the assignment list.

  6. When you assign the app to individual users, complete the following steps:

    1. Confirm the Username is correct.

    2. Note that the value in the Primary role field is automatically filled and shouldn't be changed. These role assignments are granted using the procedure detailed in Manage Workflows roles.

    3. Click Save and Go Back to confirm the assignment, or click Cancel to stop the operation and return to the assignment dialog.

  7. Click Done when you're finished.

Known issues

If Okta encounters any errors during user or group provisioning, pushing profiles, or pushing groups, these issues appear in the Tasks page of the Okta Admin Console.

Resolve these issues before assigning an RBAC role to any account.

To resolve provisioning errors, open the task in your Admin Dashboard. On the task subpage, select all impacted users and click Retry Selected.

If the issue persists, click Edit Assignment for the user account and make any required changes to specific fields.
